This policy explains how CoreFactor processes personal data when you use the vetcoresolution.com showcase website and when it provides the VetCoreSolution® software.

Scope of this policy

This policy covers the VetCoreSolution® showcase website, its contact, pilot application and newsletter subscription forms, the technical logs associated with its operation, and the processing carried out by CoreFactor to provide, secure, maintain and support the VetCoreSolution® software.

Roles and responsibilities

CoreFactor SAS is the controller for processing related to the showcase website and processing it carries out for its own purposes, including account management, billing, security and compliance with its legal obligations. For data recorded in VetCoreSolution® by an establishment, the allocation of roles between the establishment and CoreFactor is described in the section below. Processing carried out through the VetCoreSolution® software

When an establishment uses VetCoreSolution®, it determines the purposes and means of using the data recorded in the software and generally acts as the data controller. CoreFactor processes these data to provide, secure, maintain and support the service, under the establishment's documented instructions and as its processor. CoreFactor may nevertheless act as controller for processing activities whose purposes it determines itself, including account management, billing, security and compliance with its legal obligations.

The data processed may include information relating to software users, establishment customers, animals, appointments, consultations, documents, billing, and the technical and security logs required to operate the service.

AI-assisted audio transcription

When the user uses this feature, the audio recording is transmitted to an artificial intelligence provider solely to produce a transcript. The audio is retained temporarily during processing and then deleted; it is not added to the clinical record. The transcript and items explicitly approved by the user may be retained by the establishment in VetCoreSolution®. Any other use by CoreFactor requires documented instructions or appropriate authorization from the establishment.

Access, retention and data subject rights

Access to the data is limited to authorized establishment users, authorized CoreFactor personnel where their involvement is necessary, and providers essential to operating the service. Retention periods depend on the establishment's instructions and settings, contractual commitments and applicable legal obligations. Requests concerning data recorded by an establishment should be sent to that establishment; CoreFactor assists it where this falls within CoreFactor's role as processor.

Data processed and form fields

Form data are provided directly and voluntarily by the person submitting them. Fields described below as required must be completed so that the request can be processed.

Contact request

First name, last name, email address, and message are required to identify and answer the request. The telephone number is optional.

Pilot application

First name, last name, email address, clinic name, city, country, activity type, and veterinary team size are required to assess and organize the application. A description of the main pain point is optional.

Newsletter subscription

An email address is required to record the subscription and send the newsletter. It is explicitly provided through a form dedicated solely to this subscription.

Technical logs

Logs generated by the server and hosting may include the IP address, date and time, requested resource, browser or device type, and technical events useful for diagnostics and security.

Purposes and legal bases

  • Answering requests and following them up: steps taken before entering into a contract where the request concerns a potential contractual relationship, or CoreFactor's legitimate interest in answering other enquiries.
  • Assessing applications, communicating with applicants, and organizing the pilot: CoreFactor's legitimate interest in preparing and running this program.
  • Sending VetCoreSolution® news: consent given at subscription, which may be withdrawn at any time.
  • Maintaining website operation, availability, and security, diagnosing incidents, and preventing abuse: CoreFactor's legitimate interest and, where applicable, legal obligations.

Recipients

Data are accessible only to authorized CoreFactor personnel and providers strictly necessary for hosting, transmitting requests, and technical maintenance, within the limits of their duties and under CoreFactor's instructions.

CoreFactor does not sell these data or disclose them to advertising networks. They are disclosed to competent authorities only where required by law.

Audience measurement and advertising

The showcase website currently loads no audience measurement or advertising tools. Its operation and hosting may nevertheless generate the technical logs described above.

Retention criteria

  • Contact requests are retained for the time needed to process them and provide relevant follow-up, and then only to the extent required by applicable obligations or for the establishment, exercise, or defense of legal claims.
  • Pilot applications are retained for the time needed to assess them and follow up on the program, and then only to the extent required by applicable obligations or for the establishment, exercise, or defense of legal claims.
  • The email address used for the newsletter is retained until consent is withdrawn. Restricted evidence of consent, withdrawal, or objection may then be retained only to respect that choice and meet applicable obligations.
  • Technical logs are retained according to security, incident diagnosis, and hosting needs, and applicable obligations, without exceeding what is necessary for those purposes.

Your rights

Subject to the conditions laid down by applicable law, you may request access to, rectification or erasure of your data, restriction of processing, object to certain processing, and exercise your right to data portability where applicable. You may withdraw your newsletter consent at any time without affecting the lawfulness of processing carried out before withdrawal.

For processing for which CoreFactor is the controller, send your request to contact@corefactor.fr. For data recorded by an establishment in VetCoreSolution®, contact that establishment directly; CoreFactor assists it where this falls within its role as processor. Where there is reasonable doubt, CoreFactor may request the information needed to verify your identity. You may also lodge a complaint with the French data protection authority, the CNIL.

Changes to this policy

This policy may change to reflect updates to the website, the VetCoreSolution® software, their features or applicable requirements. The version published on this page is the version currently in effect.
